Multitask Personnel are recruiting on behalf of a leading provider of Mechanical & Electrical Building Services and Facilities Management solutions. We are seeking a detail-driven and organised FM Business Support Administrator to join their team based in Sheffield.

This is a pivotal role that supports the smooth running of FM operations by managing administrative processes, coordinating job scheduling, and ensuring accurate and timely documentation across the business.

Key Responsibilities

  • Use Microsoft Office to prepare and manage correspondence, spreadsheets, databases, and reports
  • Produce quotes, purchase orders and invoices
  • Assist with processing supplier invoices for the accounts department
  • Generate reports from subcontractor data and distribute to clients
  • Maintain accurate scheduling records for PPM, periodic maintenance and inspections
  • Operate and update CAFM systems such as Joblogic, Maximo, or Easybuild
  • Receive and log incoming client calls, raise work orders and allocate to technicians
  • Track and record job details in the CAFM system including subcontractor updates and technician timesheets
  • Maintain updated site and client records
  • Arrange travel and accommodation for staff and clients
  • Perform general administrative tasks such as document handling, stationery orders, and post distribution
  • Prepare internal documentation in line with ISO procedures
  • Liaise with internal Health & Safety and HR teams to support training and development
  • Collaborate with internal departments and external contacts to ensure seamless communication and service delivery

Candidate Requirements

  • Background in Facilities Management or Construction is desirable
  • Confident IT user with strong Microsoft Office skills
  • Familiarity with business software such as Joblogic or accounting packages is advantageous
  • Ability to prioritise workload and manage time effectively
  • High attention to detail and accuracy
  • Strong communication skills, both written and verbal
  • Self-motivated and capable of working independently while following company procedures
